The Dorothy Carpenter Medical Archives serves Wake Forest University Baptist Medical Center as a permanent repository and reference center for documents – written, oral and visual. The Archives was established to encourage the systematic retention of historical inactive records in the following categories:

The purpose of the Archives is to provide reference services, maintain and collect materials, and tape oral histories. It is also the mission of the Archives to support and promote interest in the history and growth of the practice of medicine in North Carolina and to maintain collections of several medical associations.

 

 


Using the Archives

Regulations

The Dorothy Carpenter Medical Archives encourages the public's interest and inquiries into their holdings for research or general information. Archival records do not circulate. Materials are retrieved from the holding area and brought to Archives' research area. We reserve the right to close for brief periods when sufficient staff presence cannot be maintained. Patrons should call ahead of time to make sure we can accommodate their requests.

Drinks, food, or tobacco products are not permitted in the Archives. Portable computers, tape recorders, and typewriters may be used, as long as other patrons are not disturbed. A limited number of electrical outlets are available.

Publication

The patron assumes full responsibility for conforming to the laws of libel and literary property rights, which may be involved in the use of any document preserved in the Archives.

The Dorothy Carpenter Medical Archives makes every attempt to preserve dates and identification of photographs and documents from their original source. The Archives is not responsible for misinformation used in any printed material from these photos or documents.

The archivists make every effort to obtain both personal and institutional archival materials for the collection. These materials vary in form and subject. Included in the collection are faculty authored monographs, subject file materials, audiovisual materials, photographs, museum objects, dissertations, institutional publications, and organizational records.

Warning regarding Copyright Restrictions

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

Regular hours are 9:00am to 4:00pm Monday through Friday. The staff strongly suggests that you contact them before your visit.

Statistics

As of fiscal year 2005-2006, the Archives holdings consisted of 1814.21 linear feet of materials. Archives staff made 22 acquisitions for the Archives and answered 76 reference questions.

History

The Archives was established in the spring of 1974, located in what is today the History of Medicine room in Carpenter Library. The idea for the archives was developed by   Michael Doss Sprinkle, former director of the Carpenter Library. In 1983, the library was dedicated in memory of Coy C. Carpenter, founding dean of the Bowman Gray School of Medicine. The Archives was named in honor of his widow, Dorothy.

The 1990’s brought several important changes to the medical school. In 1991, the school celebrated the fiftieth anniversary of its move from Wake Forest, North Carolina to Winston-Salem. During this time, the Archives was renovated and then dedicated in honor of Mrs. Carpenter. And in 1997, the medical school was renamed Wake Forest University School of Medicine (on the Bowman Gray Campus). This change was part of a restructuring plan involving the school and North Carolina Baptist Hospital, which made it clear that the school is part of Wake Forest University

Strategic Plan

MISSION

The Dorothy Carpenter Medical Archives (DCMA) serves Medical Center patrons and the global community by collecting, maintaining and making available for research the permanent records of Wake Forest University Baptist Medical Center and its affiliates.

VISION

To accomplish this mission, the Archives will maintain a competent and well-motivated staff dedicated to preserving and organizing permanent records, providing easy access to collections and strengthening relationships within the Medical Center and community.

EDUCATIONAL GOALS:

The archives will assist researchers in finding historical information related to the medical school and hospital, as well as find ways to publicize the unique and helpful resources that are available to the patron.

To do this, the archives will:

* Focus on Marketing/Publicity

- Let people know what is in the archives

            -use website photos

            -have blurbs in library newsletter

            -use intranet when appropriate to tell about research materials/items of interest

            -request credit line in publications/videos that feature items from DCMA

-Strengthen relationships with other archives/historic foundations/museums

            -continue working closely with ZSR archives

-continue to build relationship with Duke medical archives; partner on grants/projects in the future

            -stay in contact with the WFC Birthplace museum

-begin contact with Reynolda House museum, compare notes on databases, maybe partner on a project with them in the future if there is common theme

*Increase our “presence” in the medical center, city and state

-Stay active in associations

-Keep memberships in Society of North Carolina Archivists, North Carolina Library Association and Society of American Archivists

-make presentations when possible at meetings of associations

-network with other archivists at meetings.

-Keep the website current and interesting to casual users

            -Show unidentified photos and change them out regularly to keep interest

            -Feature unique items that are part of the archives’ collection

            -Post info/questions on Intranet to link to our website if possible

-Make collection more accessible to public

            -Have records added to Voyager that list archives’ holdings

-Create new cataloging database for archives that is well-planned out and useable (look at Access, InMagic, etc.)

-Find physical space throughout the medical center to display small items

ORGANIZATIONAL GOALS:

The archives will work to maintain an organized and accessible collection that can be used easily by patrons.  The archives will also work to acquire, preserve and conserve important items, documents and photos so they may be used for research.

To do this, the archives will:

*Identify and begin work on projects that are a priority for the archives

-Begin applying for grants to help make large projects possible

             -work on joint grant with Duke Medical archives

             -work on grant to reformat video and audio tapes

             -work on grant to create “mini museum” in exhibit area

-Choose 2 or 3 non-grant funded projects that we want to focus on

            -begin preliminary outline of how to get projects started

            -research costs/time/resources needed for projects

            -take classes related to projects to get input from professionals

* Cultivate relationships with medical center staff, students and faculty to make sure they bring materials to us instead of throwing them away

-Have regular communication with medical center departments

-Send out a monthly flier/email (?) to various departments reminding them to send us things that will fit the collection

            -Have regular features/columns in the library newsletter

-Create systematic process of inviting new emeritus members to donate to archives

-Have written materials available to all emeritus members that spell out what the archives accepts, how to organize it before donating it, how to get it to us, etc.

-Stay in contact (via email/fliers/calls) with emeritus house members to remind them that we will be happy to accept some of their materials

-Make emeritus members aware of what is already here and what we would like to add to the collection

-Include the archives on student tours and in the library’s orientation for new and prospective students/faculty

            -have professional brochure available to hand out

            -have interesting museum objects out to catch attention

            -have audio and/or video clips playing (surgery films, oral histories,

Ultrasounds, etc.)
